Our staff has the ability to identify and solve your maintenance issues quickly and effectively utilizing our network of carefully screened vendors (Click Here for List);   Vendors who know the level of service and quality our clients expect.   As part of our maintenance program, we provide regular site inspections of the property, present our findings to the Board, and assist in securing bids when maintenance work is needed.

1.      MAINTENANCE 

Receive maintenance request from residents or Board and process work orders through computerized maintenance work order program;  acknowledge written requests, and maintain complete log.  Review and approve hours spent per work order;  track requests through completion and report to the Board on a monthly basis all costs and open work orders.

2.      OUTSIDE CONTRACTORS

  • Initiate a competitive bidding process for services where the cost exceeds $2,000.00.
  • Assist the Board in the preparation of bid specifications and distribute to potential pre approved bidders.
  • Submit recommendations regarding the bids received, check references and recommend action for approval by the Board.

3.      COMMON AREA CONTRACT SERVICES

  • Monitor the performance of contractors who provide services for landscaping,  maintenance, and trash removal and report to the Board any occurrences that are in violation of contracted services.
  • Recommend and assist in the selection of contractor MANAGERS pre approved vendor list and finalize contracts with all contractors selected by the Board.
  • All contracts shall be executed by the President of the ASSOCIATION, using the MANAGERS "Universal Contract Format", unless there is any emergency or unless MANAGER is specifically directed by resolution to execute contracts on behalf of the ASSOCIATION.

4.      PROPERTY INSPECTIONS     

  • Conduct inspections of the property, weekly, to ensure architectural harmony and compliance with all ASSOCIATION rules and regulations.  In addition, at least one thorough property-wide inspection will be performed per year (October thru December).
  • Provide a monthly report to the board listing items which come to the attention of the MANAGER as a result of such inspections.
  • Conduct a comprehensive inspection of the property with the Board of Directors and file report, annually.

5.            EMERGENCY SERVICE

Maintain a twenty-four (24) hour, seven (7) day a week emergency response service
